Scope & our commitment
This policy applies to information collected through vcihospet.com, public enquiry and registration forms, institute administration systems, student and guardian interactions, attendance services, certificates, marks cards, and communications with VCI. It should be read together with any course, admission, fee, or institutional notices provided to you.
We process information for legitimate educational and operational purposes and seek clear consent where it is required. We aim to use information fairly, transparently, and only to the extent needed for the purpose described.
Information we collect
The information collected depends on how you interact with VCI. We may collect:
How we use information
VCI may use information to:
- Respond to course, admission, counselling, and website enquiries.
- Process admissions, manage classes and batches, record attendance, assess learning, issue documents, and provide student support.
- Send requested or relevant operational communications, including enquiry responses, admissions information, fee receipts, class notices, attendance-related communications, and certificate/marks-card availability.
- Maintain financial, educational, legal, audit, safety, and fraud-prevention records.
- Operate, protect, troubleshoot, and improve the website and authorised institute systems.
We do not use your contact details to send unrelated marketing messages without an appropriate basis or a clear opportunity to opt out.
WhatsApp, phone & email communications
If you contact VCI through WhatsApp, phone, email, or a website form, we may use the number or address you provide to respond to your request and to send relevant institute communications. WhatsApp is operated by its provider under its own terms and privacy practices; messages, profile details, and metadata may be handled by that provider when you choose to communicate through its service.
Where VCI sends reminders or updates through WhatsApp, SMS, or email, we use the contact information held for the student/enquiry and the communication relates to the institute relationship or a consented request. You may ask us to stop non-essential promotional communications at any time. Essential security, payment, attendance, admission, or academic notices may still be sent where necessary for the service or record.
Sharing, hosting & security
When information may be shared
We do not sell, rent, or trade personal information. We may share limited information with authorised staff and service providers that help us operate the website, hosting, email, payment, communication, backup, or educational services, only as needed for those services. We may also disclose information where required by law, a lawful authority, or to protect rights, safety, and security.
How we protect information
We use reasonable administrative, technical, and access-control safeguards designed to protect information against unauthorised access, misuse, loss, or alteration. Access is limited by role where practical, and system activity may be logged for security and audit purposes. No online system can guarantee absolute security; please avoid sending passwords, card details, or other highly sensitive information through ordinary email or WhatsApp.
Retention, access & your choices
We retain information only for as long as reasonably necessary for the purpose for which it was collected, to provide institute services, to resolve queries, and to meet legal, accounting, academic, fraud-prevention, and record-retention requirements. Some education, attendance, payment, certificate, and audit records may need to be retained for longer periods.
Subject to applicable law and identity verification, you may ask VCI to confirm the information we hold about you, correct inaccurate or incomplete information, withdraw consent for an optional purpose, or request deletion where retention is no longer necessary. A request may not apply to information we are required or entitled to retain.
Children, students & guardians
VCI recognises that some students may be under the age of eighteen. For a child’s information, a parent or lawful guardian should provide or authorise information and communications where appropriate. Parents or guardians may contact us to ask about, correct, or discuss a child’s information, subject to verification and applicable legal obligations.
Changes to this policy
We may update this policy when our services, technology, or legal obligations change. The current version will be posted on this page with its effective date. Material changes may also be communicated through appropriate website or institute channels.
Privacy questions or requests
For a privacy question, correction request, communication preference, or concern, contact VCI. Please include your name, the contact details used with VCI, and a clear description of the request so we can respond appropriately.
